Why?
1. Studies show that disorganized email is the greatest work distraction.
2. Google storage impacts our organization as a whole.
How?
View Storage
1. Go to your Gmail inbox.
2. Scroll to the bottom of your email.
3. Find the number of bytes you are using!
Recall:
- 1 Byte = 8 Bits
- 1 KB = 1024 Bytes
- 1 MB = 1024 KB
- ~1 Million Bytes
- 1 GB = 1024 MB
- ~1 Billion Bytes
- 1 TB = 1024 GB
- ~1 Trillion Bytes
As a district, we will be limited to 100 TB for all staff and student storage.
Sort emails - Look for large attachments
1. Click in the search bar at the top of your inbox.
2. Select "Has attachment"
3. Think about emails that pop up. Can you:
- Delete/archive them? Delete vs. Archive
- Delegate them? That is, forward the email to the correct person. (Then delete/archive.)
- Defer them? (When will you come back to it?)
- Do something/act on them? (Then delete/archive.)
Example: In the example below, I selected all of the emails with calendar invites and deleted them because I know that I already accepted or declined the event in my Google calendar.
Get immediate results!
1. Go to your trash in your inbox.
2. Empty your trash.
3. See immediate results in your storage!
